Privacy notice for users of the Parliamentary Health and Wellbeing Service

We respect your right to privacy in line with data protection. Before using our service, you may wish to read our privacy notice which sets out why we will collect personal data from you, our retention periods and how this data will be used by the Parliamentary Health and Wellbeing Service.

How we handle your personal data depends on who you are:

For members of staff of both Houses and the Digital Service

We respect your right to privacy. This privacy notice, together with information available in our generic privacy notices, sets out details about personal data that we collect from you and how we may use your information:

Collection of your personal data

When you contact us, visit us, access or use our services either on-line, by post, in person or by other means, we may collect, store and use your personal data.

The personal data we are collecting and processing is

  • Name, home address, telephone number, E-mail address
  • Date of Birth
  • GP or specialist consultant’s details
  • Counsellor’s details
  • Family contact details i.e. next of kin
  • IPSA for House of Commons Members
  • House of Lords Finance for Peers
  • Information about medical or health conditions, including whether or not you have a disability for which we need to make reasonable adjustments

Use of your personal data

We consider the purposes for the processing to be necessary for the Parliamentary Health and Wellbeing Service to carry out their function and the lawful bases to be:

  • With your consent;
  • To fulfil a legal obligation;
  • To protect your vital interests.

Storage and retention of your personal data

The House of Commons and House of Lords Administrations (who are two separate controllers) will retain your personal data for as long as necessary for the purpose it is collected. In most cases, a retention period will apply which can be found in the Authorised Retention and Disposal Policy: https://www.parliament.uk/business/publications/parliamentary-archives/who-we-are/information-records-management-service/.

For the purpose of this notice, the retention period for the collection of this personal data is 10 years from date no longer holding the post of a member of Parliament or being a Peer 40 Years if you have been exposed to asbestos, 40 years of Hazardous treatment records for all hard copy files, after which point the personal data will be disposed of securely, at present our electronic data system does not have a facility to delete data and this information will be held indefinitely.

Disclosure and security of your personal data

We may share your personal data with other organisations where there is a lawful basis for doing so, such as the House of Commons / House of Lords administration (who are separate controllers) for the provisions of shared services.

Your personal data will be processed by Parliamentary Health & Wellbeing Service staff and is stored securely within our offices on the Parliamentary Estate.

All personal data you provide to the House of Commons and House of Lords will be stored securely, both physically and electronically, in accordance with our policies. We have an information security process in place to oversee the effective and secure processing of your personal data.

However, we will normally collect personal data from you only for your use of our service i.e. care by the Clinical Nurse Adviser in the Lower Waiting Hall Clinic.

We may also use the personal data you provide us to protect the vital interests of you or others you are associated with if it were to become necessary, for example whilst visiting the Parliamentary Estate or carrying out business for Parliament.
